This Privacy policy is applicable to GLS Denmark and GLS Express' website and all other websites related GLS Denmark and GLS Express, unless otherwise stated. Personal data

Personal data includes personal or factual data for a particular individual. This is for example details such as name, address and telephone. Information that can not be linked to a specific individual – e.g. favorite web pages or the number of users on one side - is not considered personal data and is therefore not a part of this Privacy policy.

GLS provides parcel distribution and express services to businesses and individuals and is therefore subject to the rules of the Postal Act and the GDPR, as well as similar laws regulations, in terms of postal privacy and protection of personal data.

Using technical and organizational measures, GLS makes its best efforts to protect personal data against loss or misuse.

Using data

Consignee data transferred to GLS and scanning of parcels and proof of delivery (POD) are processed and archived by GLS.

GLS only uses consignee data to fulfill its contractual obligations. Any further use is not permitted unless a separate agreement is reached on the matter.

It is only consignor and consignee of a parcel that has the right to receive information about the parcel. We only give the parcel information to third parties (e.g. SKAT or other authorities) if required by law.

Archiving data

Proof of delivery, shipping and consignee data are archived and recorded as required by law. Archived data is only accessed by authorized personnel.

Every time you access the GLS website, it will be registered.

The stored data are analyzed anonymously for statistical purposes. Statistical reports used to evaluate the use of GLS' website. Especially the order in which pages are visited and the path between the pages is shown. This aims to give GLS a clue about how the usability of the site can be further improved.

Password

GLS website is divided into an open and a closed area.

The closed area is available only with an individual username and password. Here is example extended Track & Trace and our web-based printing program.

The open area includes contact form, limited access to the Track & Trace and search for the nearest ParcelShop. Personal data entered in contact forms such as name, street name, postcode, place, etc. is needed to process your request and will not be disclosed to third parties. The data stored in at least 3 months, then deleted.

Apps

Features and limitations of Bring Your Own Device (BYOD) to GLS' ParcelShop App, operated by PakkeShop employees.

This is how GLS uses information and functions via your device:

  • Network mode: Controls when the app goes offline. It is not possible to access the app without an internet connection.
  • Connection to the network: Send events and receive parcel data.
  • Camera: On BYOD, the camera is used as a scanner and the flashlight is used to illuminate barcodes if there is not enough light.
  • Permission to use location: GLS requires that you have location services switched on to check that parcels are not delivered outside a ParcelShops geofencing area.
  • Battery info: The app shows the battery status on the information page.
  • Receive Boot Complete: Allows re-creation of the ParcelShop geofencing, which has previously been monitored.

Purpose/general description of the processing of data

It is necessary, in order for GLS to fulfill our part of the contract, which we have entered with you in relation to sending or receiving parcels or by using the function "Where is my parcel" on the GLS website.

Furthermore, we process the collected data for statistical purposes, striving to offer you better quality. This can, as an example, be that we wish to optimize the routes that our drivers drive.

Categories of personal information

When we send a parcel from a sender to a receiver we process information on both parties. Whether you are the sender or recipient, we will process the following information about you:

  • Name
  • Adress
  • Phone number
  • E-mail

And on the reciever:

  • Signature

We also create scanning data on the parcel, which we pass on to both sender and reciever respectively.

Custom clearance

When you receive or send a parcel to a country, to which customs can be imposed, we will also process information on the contents and value of the parcel.

Categories of recipients

We share your information with our subcontractors, whom are responsible for the distribution of parcels.

If you send a parcel, which crosses Danish borders, we will share your data with other GLS coutnries and i some cases also our distribution partners in third countries.

We will send the recipients signature and scan data back to the sender, as proof of delivery.

We will share the parcel data with the customs authority in case there is a suspicion of a violation of the Customs ACT.

Shipment data is processed by the rules applied by customs.

When we process data for statistical purposes, it is based on a legitimate interest in optimizing our route scheduling, need for ParcelShops etc. to ensure that we are always providing a faster and better service for you.

If you wish to make an objection to the way that we treat the data of your adress, please contact our DPO.

Storing and deletion

We store the parcel data for 13 months, where our purpos expires. The data will be deleted here after.

Shipment data will be deleted after 5 years in accordance with Accounting laws.

Newsletter

By subscribing to GLS' newsletter, you consent to GLS contacting you by mail with news or other relevant marketing material. GLS registers name and email address when subscribing to the newsletter. Only a few relevant people have access to the list of registered.

You can at any time unsubscribe to the newsletter in the bottom of each mail.

Complaints and rights

This section explains what rights you have and how you can exercise them at GLS.

How can I see the information you have about me?
You have the right to ask us for the information we have about you.

If you would like to see the information we have, please contact our Data Protection Officer (DPO). Please note that we may ask for identification so that your personal information is not passed on to someone else.

How can I stop using my information?
If you want us to stop using your information, please contact us.

You should be aware that we might still have a valid reason to process information about you. We process all requests separately and return with a decision.

If you wish to exercise your right to object, please contact our DPO. Please note that we may ask for identification so that there is no doubt as to who you are.

How can I delete the information about me?
You can ask us to delete the personal information we have about you.

We may not be able to delete all the information we have about you. Sometimes we are required by law to store the information or we have a contractual obligation with you or someone else. In those situations, we will consider how we can limit the handling.

If you wish to have information about you deleted, please contact our DPO.

Can I have my information corrected?
If you find that we are processing incorrect information about you, then you can ask us to correct it.

It is not always possible for us to correct all information. For example, we cannot correct the parcel data, as the parcel has already been sent and we cannot change the information on it.

If you would like your information corrected, please contact our DPO.

Are decisions made based solely on automatic processing?
We never make decisions based solely on automatic processing or the use of artificial intelligence.

Can I complain about your processing of my data?
If you are not satisfied with the way we process your information, you have the right to complain to the Danish Data Protection Agency. You can find their contact information at www.datatilsynet.dk .
